An employee has quit, gone on maternity leave or a long vacation — there's no need to delete them. Disable them instead: they leave the workflow, and all their history stays.
How to disable#
- The switch in the employee's row on the Staff page;
- or the Working switch in the employee window;
- or several at once: tick them and choose More → Disable on the bottom panel.
Enabling works the same way — with one click.
What happens when an employee is disabled#
| Where | What changes |
|---|---|
| Employee list | The employee moves down to the “Inactive” part, greyed out, with an “Inactive” badge |
| Calendar | Their column disappears, no new appointments can be created for them |
| Online booking and company page | The specialist isn't shown, clients can't book them |
| Pickers | Not offered when choosing a specialist in appointments, sales and resources. In the service window they stay greyed out with an “inactive” label, so their services are kept after re-enabling |
| System access | Closed immediately: all open sessions end, the email can't be used to sign in. The email and password are kept — sign-in works again after re-enabling |
| Past appointments, sales, reports, salary | Kept and still show their name |
| Subscription | The employee doesn't count towards your plan |
If there are future appointments#
Before disabling, the system checks the employee's appointments from today on. If there are any, a window shows how many and a View appointments button — the journal opens with the right filter. You can:
- first move the appointments to other specialists or cancel them, then disable the employee;
- or click Disable anyway — the appointments are not deleted and stay in the journal, but the employee's calendar column is gone. The disabled employee's row then shows a reminder “Future appointments: N — move them”.
Who can't be disabled#
- Yourself — so you don't lock yourself out by accident.
- An administrator — only the company owner can disable them.
- The owner — the owner's account isn't tied to the employee list and always keeps access, so the company is never left without management.
Disabling and your subscription#
Only active employees count towards the plan — both specialists and operators. Disabled ones don't.
- You need a new employee but the plan is full — disable the one who left: the place is freed immediately, and you can add a new one without upgrading.
- You want to pay less — after disabling, lower the number of employees in your plan under Subscription. During a paid period, the new price applies from the next payment.
- Re-enabling an employee is possible only if the plan has a free place. If not, the system suggests upgrading. There are no limits during the trial.
Disable or delete#
| Disable | Delete | |
|---|---|---|
| When it fits | The employee left, but the history matters | The card was created by mistake |
| Condition | None — you can always disable (except yourself) | The employee has no appointments or salary records. Otherwise they are disabled instead of deleted |
| History | Kept | The card, photo and sign-in are removed |
| Undo | One click | Not possible, only create again |
FAQ#
An employee is on a two-week vacation — should I disable them?#
No. Mark the vacation in Staff → Working hours: nobody can book them on those days, and afterwards they take clients again. Disabling is for those who left for a long time or for good.
The specialist works, but clients shouldn't book them online#
Don't disable them — turn off Show in online booking in the employee window (or for several at once: More → Hide from online booking). In the calendar you can book them as usual.
Why isn't a specialist visible in online booking?#
Check that the employee is enabled, is a specialist, has Show in online booking on, has services with online booking enabled and a work schedule. With several branches — that they work in the branch the client chose. The Online booking and Working hours filters help find such employees quickly.
How do I change the order of specialists in the calendar?#
Drag employees by the handle on the Staff page while search and filters are off. Online booking uses the same order.
Can I bring back a former employee with all their history?#
Yes, if they were disabled rather than deleted: click the switch in their row. Their calendar column, online booking and sign-in with the same email and password come back.
A disabled employee still appears in reports — is that normal?#
Yes. Reports, salary and appointment history show everyone who worked in the selected period — otherwise past months' figures would change.
